What data do we collect?
When you register as a user of the EASY system, the data controller supplies the information necessary for your use of the system. This includes personal data such as your:

- home address
- employee number
- date of birth
- national insurance number
Additional information may be received about you that individually may not identify you, such as where you work and job title.
Dependent upon the programs licenced to your employer sensitive personal data such as your ethnic origin or sickness details may be included.
We automatically collect details of your internet connection.
Why do we collect this information?
We will use your information to enable you and your employer to use the licenced features and functionality of the EASY system.
The information collected will allow us to operate, maintain and support the system.
The data collected will enable your employer to manage aspects of their business related to manpower planning and the payment of your salary and/or reimbursement of business expenses. As such there is a lawful basis for processing your personal data.
What do we do with your information?
Your information is securely stored in our database and we will not share your data with any third parties. Your data is not sent outside of the EU. Nor will we use the information to make any automated decisions that might affect you.
How long do we keep your information for?
Your information is kept for six years to enable your employer to meet their obligations to Her Majesty's Revenue and Customs (HMRC) in accordance with UK regulations.
Your rights over your information
By law, you can ask us what information we hold about you, and you can ask us to correct it if it is inaccurate.
You can ask for us to give you a copy of the information.
